Dear Past and Potential Cherryvale Youth Fair Exhibitors:

School is out and summer is here so you know fair time is just around the corner.  We are busy planning the Cherryvale Youth Fair and want to invite you to attend.  July 8th -9th – 10th -11th are the dates for the 2009 Cherryvale Youth Fair.  Remember this is a youth fair open to any child – a 4-H member or not – so encourage everyone to join us.

There are some changes this year at Cherryvale Fair – so please read extremely carefully.  Trying to make this letter more user friendly, we have made a table of contests to help locate information.  An extremely important new rule for livestock is that any animal shown in the MARKET meat goat class (wether or doe) must be sheared (maximum of 3/8” hair length) and any animal shown in the MARKET lamb class (wether or ewe) must be sheared (maximum of .2 wool length) prior to entering at the fair.  See page 12 of Montgomery County Fairbook for details.

The age for pee wee division for livestock shown on Friday evening in the ring will be 5 and 6 as is stated in the Montgomery County Fairbook.  This is done for liability reasons.  For safety purposes, the pee wee exhibitor MUST be accompanied by an adult or older 4-H’er in the ring. 

Age for the pee wee division for inside exhibits will remain 3 to 6.   

There has been a large increase in the number of photography exhibits so this year there will be 4 different age divisions.  Please be sure to read all changes relating to photography on pages 33-35 of the Montgomery County Fairbook.

An exciting and fun addition to the Montgomery County Fairbook is a duct tape class.  See page 15 of the Montgomery County Fairbook for details.

Several changes have been implemented in the last couple of years.  They were very successful and will be continued.  One of them is to avoid any confusion and to make sure we have entries in time to determine pen and stall availability and arrangement, we will require all livestock – 2 and 4 legged – to be pre-entered by July 1st.  This means that you must pre-enter your livestock to show at Montgomery County Fair at the Extension Office by July 1st AND you must pre-enter your livestock to show at Cherryvale Youth Fair by July 1st to Sharon in the following ways.  The exhibitor form in a pdf file and information is listed on the following website – www.cherryvaleusa.com. The exhibitor form does ask for the exhibitor’s and the parent’s cell phone numbers.  In this day and age, we know that most everyone has cell phones.  If you provide us this information, it is much easier for us if we have a problem or a question to locate you.  Also by providing your e-mail address, you help us get information to you quicker and more economically.   We appreciate your understanding and cooperation in this.

All livestock information needed for the exhibitor form must be submitted by e-mail to sblaes@hit.net by July 1st OR for those who do not have a computer or access to this technology, a hard copy completed in your handwriting can be mailed to Sharon Blaes, 4241 CR 5500, Cherryvale, KS 67335.  This applies to all previous exhibitors.   

This will allow us to have all the information we need so we can start estimating classes and class size as well as if we need additional space to house livestock like last year.  This will also help exhibitors know if they will need to have someone to show an animal for them.  (This possibility always exists so you need to be prepared.) 

In addition to having pre-entered their exhibits, all livestock exhibitors will need to have entry cards completed on each animal and turned in at the table by Noon, Thursday, July 9th.  This year we are also requiring anyone participating in showmanship (Pee Wee classes included) to complete an entry card. Entry cards are available at the Montgomery County Extension Office (please tell them how many are for Cherryvale Fair since the fairboard pays for them) and will also be available at the fair.

We will have two judges – one will be judging livestock conformation and the other showmanship.  You will be watching the livestock judge at all times and the showmanship judge will be watching you during your classes.  When it is time for showmanship, we will hold Pee Wee showmanship for each species as usual, but after that class, we will call all exhibitors of that species (ONLY EXHIBITORS – NO ANIMALS) to the showring.  The showmanship judge will give pointers on what they were looking for and award ribbons.

By starting the livestock show earlier and the set up of the ring and alleyway, our goal is to provide a good quality livestock show, but be able to start our round robin showmanship contest earlier so it is not such a late evening for everyone involved.

All livestock exhibitors will be issued an exhibitor number to wear during the show.  This will have a number and a color on it to show the livestock judge what age division (Junior, Intermediate or Senior) you are in.  These numbers will also help our announcer keep track of exhibitor’s names.  If you have two animals in one class, please let us know ahead of time who will be helping you show.  All exhibitors and parents are required to attend the livestock exhibitors meeting at the showring at 5:15 PM.  We will explain how everything will work for the evening and answer any questions at this time.  We will also issue all exhibitor numbers to the exhibitor in the showring.  All exhibitor numbers need to be turned in after the exhibitor is through showing all of their livestock.

We have received many positive comments about having to load the animals only once and getting them inspected for health papers at the fair so we are continuing the service of having a veterinarian on site to inspect animals and offer health papers.  Dr. Paul Cotterill of Cherryvale Veterinary Clinic will be available at the fair three different times to inspect animals and issue health papers.  He will be available from 6:00 to 7:00 PM on Wednesday evening July 8th.  He will be available again on Thursday, July 9th at 8:00 AM to 9:00 AM and then again in the evening from 5:30 P.M. to 6:00 PM.  This year we will again have a one way entry to make things easier for pickups and trailers.  Please watch the signs for the one way entry.  

As a convenience for exhibitors, there will be some straw available at the fair for exhibitors to purchase for bedding. 

Another department change we made recently was in the rabbit show.  This was very successful and will be continued this year.  The rabbit show has enjoyed a significant increase in youth participants and in the number of rabbit breeds exhibited.  We want to include anyone that would like to show a rabbit and we’d like to accommodate the animals comfortably and safely.  We would also like to make our rabbit show a more educational event for all participants (including adults!).  In order to accomplish these goals, several changes were made last year.    

Due to limited cage and barn space, as well as the potential for heat related stress on the rabbits, the rabbit show will have a “carry in” option.  Exhibitors are still encouraged to pen their rabbits in the barn for the duration of the fair, but they may choose to “carry in” their rabbit for the show only, and then take it home afterwards.  To recognize our “carry in” participants, a photo will be taken of each exhibitor with their rabbit and ribbon to be displayed for the duration of the fair. 

Another change made was in the judging.  In the past rabbits have been judged by “class”, but in 2009 (like in 2008 & 2007) the judging will be by “breed”.  For example, all New Zealands would be judged at the same time and the judge will select the best of this breed.  This process will be repeated with the other breeds represented.  The judge may choose to combine some breeds when a small number of entries are present.  In the final round, each “best of breed” will be compared to select the grand and reserve champion rabbit. 

We moved the rabbit show away from congested areas near the barn, and provided a microphone for the judge so that comments during judging could be heard.  We believe this helped exhibitors learn more about the ARBA standards for each rabbit breed; assisted them as they worked on improving their showmanship skills and helped them select quality animals for breeding.

Rabbits still need to be pre-entered by July 1.  Exhibitors also need to tell us at that time if they plan on penning rabbits during the fair (so that we can be sure to have enough cages set up) or if they will “carry in” their rabbits for the show only.  Entry cards need to be completed and turned in by noon on Thursday, July 9th.  In addition to providing the exhibitor name, age, city and club on each entry card, please indicate the rabbit breed and class.  

This year there is a change in the time of the poultry show.  Last year we experienced a conflict with exhibitors that had both poultry and rabbit exhibits.  This year the poultry show is being moved to 4:00 p.m. on Thursday, July 9th.  With this change we hope that the poultry show and showmanship is completed by the time the rabbit show begins at 6:00 p.m.  Also remember that all poultry must have a negative Pullorum/Typhoid test.  Peyton Kessler has agreed to do this testing on site on Wednesday, July 8th from 6:00-7:00 P.M.

Another change we made for the last two years that will continue is the food auction.  Each exhibitor can enter as many food items in their level as they want, but only two items will be sold at the auction.  This will allow every exhibitor (and their supporters) the same opportunity as well as not straining our auctioneer and our financial supporters as much.  The other food items will be available for sale at “bake sale” prices like at the county fair.  If the exhibitor bakes more than two items, the fair board will decide which will be sold during the auction based on the ribbon received and/or what item will sell best.  Another change we will continue is having the food auction outside.  This will allow everyone to have access to the food auction and bidding and will allow more ventilation so maybe everyone will not be as hot as previous years.  Everyone can bring their lawnchair and join us.  We will still have our youth exhibitors hold and “showcase” their baked goods during the auction on Thursday evening.  This has been very well received since the people enjoy seeing the youth taking an active part in the auction.  It also resulted in enough proceeds that we have been able to return some premium money back to the clubs as well as make improvements for the fair so we will definitely continue this tradition.  If you come from a community besides Cherryvale, please encourage businesses and other supporters to come support the food auction at the fair. 

Since the fairboard is preparing for the future, we are in the planning stages of estabilishing a plan for improving the fair.  We have established a building fund.  If anyone would like to contribute, please contact any of the officers listed below.  Also we have a fund set up through the Coffeyville Community Foundation that has the 501c3 status.  If this is a requirement for any donations you could help us secure, please let us know.  Going along with that, the fairboard has lowered the maximum premium money paid to each exhibitor this year to $20.  We feel this is still a great opportunity,a good premium and will leave a little more in our account to go towards the washrack project and the building fund.

We have already been in the process of raising funds for the building project and want you to mark your calendar for the next fundraiser.  August 29th at the Cherryvale Armory will be a Dinner Dance to raise money for the building fund.  More information will be available at the fair, but please mark your calendars!  Thanks!

A Grand Champion Showmanship Exhibitor from each species and each age division (Junior, Intermediate and Senior) is eligible to enter the Round Robin Showmanship Contest later Friday evening.  If the Grand Champion showman decides not to enter, the Reserve Champion showman is eligible.  If an exhibitor wins Grand Champion in two different species, they must decide which species they want to show and the Reserve Champion showman in the other species is eligible to participate in the Round Robin Contest. 

Another change made for 2009 involves the Round Robin Showmanship contest.  This year, for safety reasons and liability, if we have a junior grand champion beef showman that showman will participate in the round robin contest with a bucket calf that has been pre-determined by the Cherryvale Youth Fair Board.  If there is not a suitable bucket calf to use that has been trained with a showstick, etc., then the Junior Beef Showman will still participate in the Round Robin Contest, but without any beef animal. 

The Cherryvale Youth Fair does use the Montgomery County Fair book for class numbers and rules – with a few exceptions.  At the time of this letter the Montgomery County Fair Book is not available yet, but you will need to read the rules and requirements for any department you are entering in to see if that department has changes from prior years. (If you plan on exhibiting at Cherryvale Fair and are not in Montgomery County, let me know and I’ll get each club a copy of a fairbook.)  THIS LETTER IS LIKE YOUR CHERRYVALE YOUTH FAIR FAIRBOOK.  The exceptions for our fair to the Montgomery County Fair book include the following --

– There is no consultative judging for inside exhibits.
- There are no horse exhibits.
- No livestock premium sale.
- All proceeds from the food auction go into the general account to help operate the fair.

- The age for pee wee division for livestock shown on Friday evening in the ring will be 5 and 6 as is stated in the Montgomery County Fair book.  This is done for liability reasons.  For safety purposes, the pee wee exhibitor MUST be accompanied by an adult or older 4-H’er in the ring.

- The age for pee wee division for inside exhibits will remain 3 to 6.
- The bucket calf show will be done the same way as we have in the past at Cherryvale Fair.  The judge will do an interview with the exhibitor while they show their calf.  We will have a scorecard for the judge.  This will all take place on Saturday morning.
- Clothing construction and woodworking will be divided into 2 age groups only.
- You do not have to be enrolled in the project to exhibit at our fair.
- Livestock classes & showmanship explained previously.

A “responsibility” for the exhibitor this year is that if you are entering an exhibit in a

“low enrollment project” such as poultry, entomology, geology, rocketry, wildlife, dairy

goats, home improvement, shooting sports, project notebooks, etc.  IT IS YOUR RESPONSIBILITY TO LET SHARON KNOW BY JUNE 15th.  I will only order plaques for projects that I know of exhibits so if you are exhibiting in a low enrollment project and hope to win a plaque, NOTIFY SHARON.  If you are not sure if your area is a low enrollment project and want to make sure, talk to Sharon.

We have enclosed a schedule for the fair.  We are excited to continue the Wednesday evening entry and cookout.  This has been well received the last five years.  We are allowing you to enter livestock (with health papers) and inside exhibits on Wednesday, July 8th from 6:30 to 8:30 PM.  We hope this will help exhibitors and their families.  We are also using this as a time to meet new friends and enjoy old friends.  This year Montgomery County Farm Bureau and Quality Car Care are co-sponsoring the cookout meal which is available for exhibitors and their families free of charge.

Again this year any exhibitor of the Cherryvale Fair is welcome to spend the night at the fair provided a responsible adult from that club or family stays with them.  This is the same rule that applies to the Independence Fair.  Several exhibitors have enjoyed this experience in the past.

The adult bakeoff has been so well received by the bakers and all the generous people involved that we are holding it again this year.  It will be held on Friday, July 10th.  (Adults = 18 years and older)  All entries need to be entered by noon on Friday.  The categories will include cookies (1 dozen), cake, fruit pie, bread and decorated cake.  One entry per category, but you may enter each category if you wish.  There will be a champion in each category.  Then a sweepstakes winner will receive a gift certificate to a Cherryvale Fair sponsor of their choice.  The food will then be sold at a silent auction that evening starting at 5:00 p.m.  Each item will be set in with a minimum $5.00 bid.  The minimum raise in bidding will be in $1.00 increments.  This year we could not find a family that needed assistance due to a medical problem that had 4-H ties so we have designated the proceeds from this year’s silent auction to the Cherryvale Youth Fair Building Fund. 

Please encourage your parents, grandparents, past 4-H members and anyone interested to participate.  We hope you’ll join in on the fun.  If you know anyone who wants to help, but is unable to attend, checks can be made payable to the Cherryvale Youth Fair and sent to Sharon Blaes, 4241 CR 5500, Cherryvale, KS   67335.  (If you need the 501c3 status, please talk to Sharon before making out your check.)

Once again G & W Foods of Cherryvale has graciously agreed to sponsor the exhibitors’ breakfast free of charge to all exhibitors, their families and Cherryvale Fair sponsors on Friday morning, July 10th at 7:30 AM.  Following the breakfast we will once again host a Skillathon.  We feel it is important for people to learn about many projects; therefore, the Skillathon deals not only with livestock, but other projects as well such as cooking, sewing, horticulture, arts & crafts, woodworking, etc.  This will be held July 10th at 9:00 AM.  So come test your knowledge and join in the fun!

This year the sweepstakes winners will be determined the same as the last five years.  Every exhibitor that has a total of 10 exhibits (showmanship class will count as an exhibit as well as participation in the Skillathon) will be put into a drawing.  From this drawing for each age division (Junior, Intermediate, Senior), the winner of the drawing will receive an embroidered duffle bag declaring them the Sweepstakes winner in that age division.  There will be additional drawings for Cherryvale Youth Fair T-shirts for each division also.  Anyone who has previously won the sweepstakes bag in that age division will be disqualified from winning again.  We want to encourage you to bring all of your wonderful exhibits to show everyone.       

AN IMPORTANT CHANGE IN THE SCHEDULE LAST YEAR WILL CONTINUE THIS YEAR!!!!   Cleanup will start immediately after the bucket calf show.  There have been fewer bucket calves the last few years so we are anticipating that cleanup will start at 10 AM or immediately following the bucket calf show.  Please be sure that you are on time to remove your exhibits and to help with the cleanup.  After cleanup we will have presentation of awards and premium money.  After the awards, the fair board will treat all who helped clean up the fair grounds to a meal. 

Once again the Cherryvale Clinic has agreed to sponsor the swimming party (free of charge) for all exhibitors and their families to celebrate all the hard work that went into the fair.  The swimming party will be Sunday, July 12th from 8:00 P.M. to 10:00 P.M. at the Cherryvale Pool.  As in the past, bring some kind of snack food or drink and come join the fun!

The New Hope Christian Church youth group will run the concession stand this year.  They had many new items on their menu last year that were a big hit and promise to have more this year.  They do a fantastic job and we hope you will help support them.
